Cash book payment or receipt
For money in or out that is not a customer receipt or a supplier payment (expenses, bank charges, interest, refunds), ask for a cash book entry with the date, who, the amount and what it is for.
Example prompts
Copy one into a chat with AUTOCOUNT connected and change the details to your own.
In Company A's book, record a cash book payment on 2026-09-30 from the bank: RM 420.00 for September electricity, paid to the power company.
Record bank charges of RM 15.00 and bank interest received of RM 12.35 on 2026-09-30.
Key in the expenses on the attached claim form as cash book payments, one per receipt.
Include in your request
- Date, paid to or received from whom, and the amount.
- What it is for (a category your book uses, such as utilities or office supplies) or the account code.
- Paid from or into which bank or cash account (in your words), and the cheque number if any.
- Tax code, only if the expense carries tax.
What happens next
- Your words become the book's accounts through your company's confirmed rules; anything they do not cover is marked Skipped with the reason, never guessed.
- A confirmer types the 4-digit code; a PDF in your book's layout is made for each entry.
Tips
- Customer receipts and supplier payments have their own topics; use those so the invoices are knocked off.
- If the AI says a category is not in your rules, give the account code, or ask a confirmer to add the category on the rules page.
Related topics
- Customer receipt and knock-offAsk for a receipt with the customer, date, amount, where the money went and the invoices it pays; without invoices it stays as the customer's advance.
- Supplier paymentAsk for a supplier payment with the supplier, date, amount, where it was paid from and the supplier invoices it pays.
- Teach the AI your company's wayTell the AI how your company does things or what your words mean, in English, Chinese or Malay; it notes them for your company, and "forget it" removes a note.
